Roles and responsibilities for the go-live are defined jointly with all parties involved during the jour fixe approximately one week before the planned launch.
The objective is to ensure that, by the time the campaign launches, it is clearly defined who is responsible for each task, who makes decisions and how outstanding issues are escalated.
Responsibilities should be clearly defined before the go-live. Unclear responsibilities can lead to delays, particularly during the first days of the campaign – precisely when attention is often at its highest.
Which responsibilities are defined before launch?
- Campaign management lead: definition of the person with overall responsibility and the escalation process, including the handling of subscription forms
- Contacts and deputies: nomination of the responsible contacts on all sides as well as deputies for periods of absence
- Comments and questions: definition of who monitors and responds to questions and comments on the platform
- Launch-day sequence: definition of the activation sequence – who triggers which activity and at what time?
- Holidays and absences: ensuring that responsibilities remain covered during planned periods of absence
- Waiting list: precautionary setup of a waiting list so that it can be activated immediately if required
By launch day, every key task should have both a responsible person and a designated deputy. This allows questions and necessary decisions to be handled without unnecessary coordination delays.
